Business Bottleneck

A fast-growing stationery retailer, relied on manual spreadsheets and ad-hoc barcode guns for quarterly stock audits. Disparate tools caused data entry errors, week-long reconciliation delays, and zero real-time visibility for head-office managers. Audit data still had to be re-typed into the Magento back-office, draining staff hours.

Technical Gaps

The legacy Magento setup lacked mobile endpoints, secure role-based access, and a unified audit index. Existing barcode scanners produced raw codes without item context, forcing auditors to consult printed SKU sheets. Stakeholders wanted a low-infrastructure, Android-first solution that could integrate with the current Magento code-base and email workflow without paying extra licence fees.

Rapid Sprint Model

We partnered with the client to leverage our mobile app development expertise and designed a two-milestone delivery plan—Alpha in 8 days, Final in 15 days. Leveraging a custom software approach, we built:

Kotlin Android app — offline-capable, JWT-secured login for auditors & admins, dynamic outlet selection, and high-speed barcode capture using ZXing.
Magento 2 REST layer — new endpoints co-located in the client’s PHP code-base; no extra servers required.
Role management & email automation — re-used Magento’s mail engine to auto-dispatch PDF/CSV audit reports immediately after audit completion.

Seamless Integration & Knowledge Transfer

Our engineers embedded the API module inside the existing repository, ensuring version control continuity. A lightweight AWS EC2 staging server mirrored production for UAT. Post-deployment, we ran a one-day on-site workshop to train auditors, hand over source, and document the API contract for future Magento upgrades.
